As 2025 comes to a close, we’re taking a moment to look back on what we’ve accomplished together this year. Across the organization, teams leaned in to improve processes, test new tools, and strengthen collaboration. Our department’s role has been to support that work and help connect efforts across departments. 

This year, we worked alongside many of you to: 

  • Refine workflows to reduce redundancies and improve turnaround times. 
  • Advance key initiatives focused on quality, safety, and cost-effectiveness. 
  • Partner with teams across the company to share knowledge and build more consistent practices. 

Meet The Team - Our Focus

Jimmy Melachrinakis, VP of Operational Excellence

Jimmy’s role focuses on supporting regional leaders and project teams by aligning technology, training, and process resources with real operational needs.

Jimmy's work includes: 

      • Meeting with Regional Ops and Field leadership to understand priorities, recurring challenges, and where support is needed. 
      • Helping the OE team stay focused on the work that directly supports project delivery, so improvements reflect what teams say will make the biggest impact. 
      • Championing practical solutions that reduce friction, lower rework, and strengthen day-to-day execution. 

Jimmy's Goal: Make sure the department’s efforts stay connected to what teams face in the field and during project delivery, so OE support adds value where it matters most. 

Natasha Gonzales, Business Process Manager

Natasha supports teams by helping them identify and strengthen workflows and processes that make daily project work smoother and more efficient.

Natasha focuses on:

    • Identifying and reducing workflow bottlenecks by partnering with Ops teams, Ops Leaders, and Finance to strengthen processes that support day-to-day work.
    • Using Continuous Improvement feedback loops to understand project process needs and ensure changes reflect real challenges.
    • Improving clarity around project financials and cost-related workflows to support better forecasting and decision-making.

Natasha's Goal: Supports smoother and effective day-to-day operations by making sure improvements reflect real needs identified by Operations and Finance teams.

Kaitlyn Anderson, Learning & Development Specialist

Kaitlyn supports teams by creating training and resources that make daily work clearer and more consistent. 

Kaitlyn Focuses on:

      • Building practical, field-ready training tools from team feedback. 
      • Updating materials to fix confusing steps and reduce errors. 
      • Partnering with Subject Matter Experts across regions to ensure training reflects real practices. 
      • Providing flexible training formats so teams can learn without interruptions to project work. 

Kaitlyn's Goal: Make learning accessible and useful, giving teams the resources they need without adding more work to their day. 

Gina Bagnariol-Benavides, Business Applications Manager

Gina supports project teams and departments by maintaining the health, stability, and usability of Skyline’s business applications. 

Gina focuses on:

    • Troubleshooting system issues quickly so teams can stay focused on project work. 
    • Adjusting configurations and permissions to better match actual workflows. 
    • Coordinating with IT and vendors to resolve issues raised by the field. 
    • Ensuring system updates don't disrupt project work and are communicated clearly. 
    • Supporting teams using AIA tools, DocuSign, and other applications. 

Gina's Goal: Keep systems reliable and aligned with the needs of teams in the field and in operations, so tools help projects run more efficiently.

Josh Melachrinakis, Data Analyst

Josh joined this fall to support teams with better data and clearer reporting.

Josh's support will focus on: 

      • Building dashboards that answer real questions teams ask. 
      • Cleaning data sources so reports are more accurate and easier to use. 
      • Helping Ops and Field understand trends without digging through raw data. 
      • Working with PMs, Supers, Ops leaders, and PAs to define KPIs that reflect real project needs.  

Josh's Goal: Bring clearer information and actionable data to teams.

AIA Transition to Catina

AIA Catina is Skyline's designated platform for finalizing Owner Contracts and AIA Change Orders digitally, using standardized Skyline templates and contract exhibits. Whenever possible, Skyline uses  our version of AIA Contract templates, which have been edited to meet Skyline’s contract needs.

Project Coordinators are Points of Contact for all:

    • Skyline initiated AIA Contract Agreements
    • AIA Change Orders
    • AIA Certificates of Substantial Completion 

Tools, Tips & Time-Savers You Can Use Today

The following features and workflows came directly from the creativity and problem-solving of project teams across Skyline. These tools save time, increase clarity, or make day-to-day work easier and they’re all available for teams to use right now. 

Contingency Markup Hack 

David Kluj created a clean, easy-to-use approach to applying contingency markup consistently across projects. This saves you time by eliminating the need to calculate the markups manually!

 Bulk Upload Change Events

To save time from manually adding line items to a change event, Luke Bobeda recently used the bulk upload method for Change Events. This allows you to  download a CSV file from your project, add your line items to that file, and then import it into Procore.

Bulk Submittal Upload Method 

Jose Silva used the bulk upload method for submittals on the PwC San Jose job. This fast technique for organizing and uploading all your draft submittals at once can help cut down on data entry throughout the lifecycle of the project!

New Tools to Try Out!

Looking for ways to save time and simplify your workflow? Check out these practical tools and features that teams are already using to make daily tasks easier:

Project Status Snapshots (Mondays) 

Project Status Snapshots are a quick, high-value practice. This is a snapshot of your Procore Budget at the start of the week or at least after your monthly budget update and after any major change (buyout, scope of work change order, reforecast exercise). 

Why it matters: Supports more proactive planning, clearer communication, and fewer surprises and allows intel with the use of Procore’s new Variance feature. 

Procore for Outlook 

You can now connect Procore directly to Outlook, making it easier to create Change Events and draft RFIs without leaving your inbox!

    • Architect emailed you that Bulletin set? Use that email to quick create a Change Event!  Bulk add your subs and create those RFQs in a few simple steps!
    • Sub emails you an RFI with some supportive photos? Quick create that draft RFI and the photos will come right along with it!

Why it matters: Reduces clicks! Create that draft RFI or Change Event direct from email! Architect send you a bulletin set?  Create the Change Event direct from the email and send your RFQs!  The drawings will automatically come through to the RFQs for reference. 

Procore Locations & QR Codes

Locations in Procore let you link items (RFIs, Submittals, etc.) to specific job site areas, making it easy to pinpoint where defects, installations, or change orders occur.

You can generate a QR Code for any location. Scanning it with the Procore Mobile App allows field users to:

    • Filter items by that location, or
    • Create new items with the location automatically linked.

Teams at Skyline have started using this process and report significant value in improving accuracy and efficiency on site.

Using your Budget’s “Monitored Resources” in Forecasting 

Teams are now more widely incorporating monitored resources to complete their forecast-to-complete calculations. 

Why it matters: Helps create a more accurate and consistent forecast giving you REAL TIME cost feedback.

Procore Schedule Tool - Beta

Teams have been in beta testing for the new Schedule Tool in Procore. These teams saw better visibility and cross-team alignment

Key Capabilities of the tool:

    • Upload & Integrate Schedules from MS Project to Procore
    • Displays the full project schedule within Procore.
    • Allows updates to keep the schedule current and aligned with project progress.
    • Generate short-term views (e.g., 2–6 weeks) for field teams and daily planning.
    • Print schedules or email snapshots to stakeholders.
    • Remove outdated schedules and upload revised versions as needed.
